The challenge
JPM Appliances was running their day-to-day inventory across three separate spreadsheets. Stock counts, sales records, and service notes lived in different files, maintained by different people, and never quite agreed with each other. Every reconciliation meant chasing down discrepancies by hand — and every piece of customer-facing work waited on someone first answering “what do we actually have?”
The team wanted one system. Not a generic off-the-shelf tool that would force them to bend their process to someone else’s assumptions, but a platform built around how they actually work.
What we built
A custom inventory platform that replaced all three spreadsheets with a single source of truth. The system automates the workflow end to end — from intake and stock movements through sales and fulfillment — and gives the team a clear, real-time view of what they have, what they’ve sold, and what’s on the way.
Key capabilities
- Unified inventory ledger. One canonical record per SKU, updated automatically as stock moves through the business.
- End-to-end workflow automation. The steps that used to require manual data entry across multiple files now happen in the background, with the team reviewing and approving exceptions instead of doing the data plumbing.
- Real-time visibility. Stock counts reflect what the team actually has on hand, so customer-facing decisions happen in seconds instead of minutes.
- Built around their process. The platform models JPM’s real workflow — receiving, sales, service — rather than forcing them into a generic inventory template.
How we approached it
We started by mapping the existing spreadsheets and the points where data fell out of sync. That made the highest-pain manual steps obvious and gave us a clear before-and-after picture to anchor the build around.
From there we shipped in short cycles, validating each piece with the team as it went live so the system grew to fit how they actually work — not how a generic tool assumes they should.
Results
The platform is in daily use. So far it has:
- Saved ~14 hours of manual work every week by automating the steps that used to require copying data between spreadsheets.
- Replaced three spreadsheets with one system, so every team member is looking at the same numbers.
- Tracks 200+ SKUs in real time, with stock levels that reflect what the business actually has on hand.
What’s next
We’re now on retainer with JPM, shipping new features as their business evolves and keeping the platform fast, reliable, and easy to operate. Active, ongoing client relationships are how we measure whether we’ve done a good job — and on this project, the answer keeps being yes.
